Key tasks
SUMMARY OF GENERAL DUTIES
Responsible for the smooth running of the central reservation system and other online distribution systems, 3rd party internet partners and / or call centers.
Ensure the hotel has the opportunity to sell their rooms 24 hours a day through the reservation center, internet websites.
Ensure the hotel is properly represented on this global platform
Ensure the hotel is optimally using and benefiting from this powerful distribution system.
Organization and monitoring of all affairs concerned to the position.
Proper grooming at all times
Attend training classes as per schedule
Show fullest cooperation and respect within the team and other departments
Is aware of the daily activities and has product knowledge of all the hotel facilities
DUTIES & RESPONSIBILITIES
Collect and supervising data loading (property information, photos)
Content management of the corporate websites.
Responsible together with the marketing dept of maintaining and developing the corporate websites. This includes the coordinating of promotional updates, text updates and its translation in different languages.
Search Engine & Affiliate Marketing Optimization: Liaising with 3rd party partners to ensure optimal SEO and Affiliate marketing. Creating summary reports of progress, status and tackling issues related to this.
Actively searching and negotiating new agreements for onward distribution through the reservations system with 3rd party internet portals and sites.
Maintain the revenue reporting system and analyze reservation patterns.
Making worldwide reservation checks through Internet and reservation offices.
Determine what website format to use
Develop affiliate marketing programs
Implementing online security and coordinating all online transaction and marketing efforts.
Control all aspects of a company's online business.
Maintain the online business plan.
Ensure website maintenance.
Renegotiating contracts with suppliers and payment services.
Staying up to date on any software or data management trends.
Be totally familiar with hotel products, rates, and promotions at all times.
Maintain up to date understanding of company products and rates and involvement in cross selling of these when required.
Be aware of the strengths and weaknesses of all competing hotel and restaurant products and provide weekly regular updates after visiting competition hotels allocated for tracking purposes.
Provide ongoing market intelligence by monitoring business sources and segments.
Participate in hotel activities including promotions, sales blitzes, entertainment and other operational areas as directed.
Penetrate and saturate prospective and existing customer organizations for effective multi department selling.
Assist the DOSM in pursuing new market segments to secure sales and prepare proposals for consideration.
Positive communication of the hotel image to existing and potential customer at all times.
Ensure that revenues and / or cost controls are maximized through proactive actions rather than reactive management.
Maximize occupancy and average rate of hotel through creative and selective online selling.
Report on trends in the industry and local markets.
Maintain a calendar allowing you to meet all established deadlines and planned sales trips. Regular deadlines include (but are not limited to) the monthly forecast and expect-to-turn reports.
Ensures that all incoming correspondence (inquiries, requests, offers, confirmations, etc.) are attended to and replied in due time.
Establishes a Monthly Report which includes the summary of the past activities, prospection and trends, and analyses competitor's sales and promotion efforts, forecast for all sales activities & production/conversion figures. Attends once a month hotel's Sales/Rooms Division and Credit meeting.
Targets to achieve key figures from key accounts / key markets through preparation and execution of proper action plan for his/her field of responsibility.
Conducts rate market surveys to advise management of actual market trends.
Special deals (out of guidelines and rate policy) must in any case be discussed, coordinated and approved prior to offer with the hotel's management.
GENERAL / MISCELLANEOUS

Be well groomed to the standards laid down. Insist on the same standard for your employees.
To comply with all hotel rules and regulations as outlined in the handbook and to be aware of company disciplinary and grievance procedures.
Maintains a monthly overview of vacation- and public holiday balance of all his/her staff and delivers a monthly consolidated summary to the Director of HR.
To create an environment which promotes employee morale and encourages the team to have pride in their department with a high level of commitment.
To promote a helpful and professional image to the customer and give full cooperation to any customer requiring assistance with the prompt, caring and helpful attitude.
To anticipate the needs of the customer whenever possible, to enhance quality service and in turn enhance customer satisfaction.
To give full co-operation to any colleague requiring assistance in a prompt caring and helpful manner. To be flexible in assisting in other areas of the Hotel in response to the business and customer needs
Is familiar with all related company documentation and especially with the relevant Operational Standards for his/her field of responsibility.
